We only collect information necessary to operate the Clarity360 service.

1.1 Account Information
We collect the following personal information:

  • Organisation Name
  • Display Name

Payment-related information (processed through Stripe; we do not store card details)
We do not store passwords. Authentication is performed entirely by Auth0, our identity provider.

1.2 AI-Generated or AI-Processed Data
Our AI models analyse only the text you provide inside your organisation’s workspace. AI may generate:

  • AI headings
  • AI summaries
  • Pattern detection insights
  • Concern grouping
  • Risk indicators (organisation-level only)
  • AI outputs remain inside your organisation’s workspace.

1.4 Billing Information
If your organisation upgrades to a paid plan, Stripe collects:

  • Payment method details
  • Billing address
  • Subscription status
  • Transaction metadata

We never receive or store card numbers.

3. How We Use Your Information
We use your data to:

  • Create and manage user accounts (via Auth0)
  • Provide platform services
  • Process payments via Stripe
  • Send emails, updates, and optional marketing content
  • Send essential service notifications
  • Maintain system security and reliability

4. Where Your Data Is Stored
To meet UK and EU data residency requirements, all production data is stored in:

  • Heroku Europe region
  • Heroku PostgreSQL Europe region
  • Backups and logs also remain in the same region.

4. Tracking & Analytics
We do NOT use any analytics tools, cookies, tracking pixels, Google Analytics, or similar third-party trackers.

5. Email Communications
We send emails for:

  • Account notifications
  • Service updates
  • Optional marketing messages
  • Users may unsubscribe at any time

6. Payment Processing
Stripe processes subscription payments securely. We do not store card details.
